Events & the Schedule Generator

Why this page exists

Every Impact and New Life night, and every one-off BSCF Events gathering, is a row on this page before it ever shows up on the public calendar. Two ways to add one: type up a single event by hand, or point the generator at a date range and let it fill in every Friday (or whichever days) automatically — without ever duplicating a date you already handled.

Who can do this

A ministry coordinator or adminfor that specific ministry — a New Life coordinator manages New Life's events, not Impact's. Site-wide admins can manage every ministry.

Adding one event by hand

  1. 1Go to Admin → Events.
  2. 2Fill in New event: name, ministry, date, and optionally theme, location, doors/start times, description, which teams are involved, and any livestream links.
  3. 3Turn on "Take RSVPs" for anything you want a headcount for — usually on for big gatherings, off for weekly services.
  4. 4Create event — it's live on the public calendar immediately.

The Schedule generator — for recurring nights

Rather than adding 15 Friday-night Impact services one at a time, tell the generator the ministry, a program year, a date range, and which days of the week — it creates every matching date that doesn't already exist. Run it again over the same range any time (say, after adding a new blackout date) and it only fills in what's still missing — existing events, including ones you've cancelled, are never touched or duplicated.

Program years & blackout ranges — set these up first

The generator needs at least one program year (an academic year like “2026/27” with a start and end date) before it has anything to work within. Blackout ranges — winter break, spring break, whatever the ministry doesn't meet during — are dates within that year the generator skips automatically.

  4. 4Now the generator (above) has a program year to pick and blackouts it'll respect automatically.

What generated events get automatically

Each ministry can declare which of its teams staff every recurring night by default (set from Admin → Teams) — a generated Impact Friday automatically gets Greeters and AV & Livestream attached, for instance, without you picking them each time. A one-off event you add by hand lets you choose teams individually instead.

Good to know — “removed” is different from “cancelled.” Deleting a generated event leaves a tombstone so the generator never recreates that date by accident; cancelling instead keeps it visible as a real, visible off-week (“No Impact this Friday”) rather than making it disappear.
